Refund and cancellation policy

Scope

This policy applies to professional fees and deposits for financial auditing engagements with Aki Balance Review—annual statement audits, interim balance reviews, internal control walkthroughs, and agreed-upon procedures. It does not cover products, software licences, or physical goods, which we do not sell.

Eligibility for refunds

Refunds are considered when we cancel an engagement for reasons within our control, when a deposit was paid and we have not commenced planning work, or when a written agreement specifies a refundable portion. Fees for work already performed are generally non-refundable.

Timeframe

Refund requests should be sent in writing to hello@neurologicai.digital within fourteen days of the event giving rise to the request (for example, our cancellation notice or your withdrawal before planning begins). We confirm receipt within five business days.

Full or partial refunds

  • Full refund of deposit: If you withdraw before we begin planning (document request list not yet issued) and we have incurred no third-party confirmation costs.
  • Partial refund: If planning has started but fieldwork has not, we may refund the deposit minus time spent at agreed rates and any non-recoverable confirmation or travel costs.
  • No refund of fees earned: Once fieldwork or substantial testing has begun, fees for completed stages are payable in full as set out in the engagement letter.

Non-refundable items

Bank confirmation fees paid to third parties, travel already undertaken for inventory observation, and time recorded against planning or fieldwork are non-refundable. Retainers applied to completed stages under the engagement letter are likewise non-refundable.

Deposits

Annual audits require a thirty-percent deposit to confirm the engagement letter and reserve the fieldwork window. The deposit is applied to the final invoice. It is refundable only under the conditions above.

Cancellation and rescheduling

Either party may cancel in writing. If you cancel within ten business days of scheduled fieldwork, we may charge for reserved staff time up to the deposit amount. Rescheduling requested more than ten business days before fieldwork is accommodated when our calendar allows, without extra fee beyond necessary reconfirmation costs.

No-shows and delayed access

If agreed site access, inventory counts, or key personnel are unavailable on scheduled fieldwork days without forty-eight hours’ notice, we may charge for idle reserved time and rebook subject to availability. Repeated delays may require a revised fee estimate.

Work already started

Working papers, draft findings, and partial testing completed before cancellation remain our professional work product. You remain responsible for fees covering that work even if a final auditor’s report is not issued.

Refund process and method

Approved refunds are processed within twenty-one business days to the original bank account used for payment, unless another method is agreed in writing. We do not process payments through this website; refunds follow the same bank transfer channels used for engagement invoices.

Exceptions

Where an engagement letter contains specific cancellation clauses, those clauses prevail over this general policy for that engagement. Mandatory protections under Japanese law remain unaffected.
